Tournament, Sales and Venue Coordinator

Deer Creek Golf Club is looking for a highly organized, people-oriented Tournament, Sales & Venue Coordinator to help manage events from concept to execution while driving bookings and maintaining smooth day-to-day venue operations. This role blends event coordination, sales, and on-site venue management. This role is perfect for someone who thrives in a fast-paced, event-driven environment and loves seeing great experiences come together.

Key Responsibilities

  • Primary responsibility will include the professional and efficient coordination and execution of golf tournaments and special events.
  • Ensure each event has a signed, accurate and complete contract – if there are revisions, ensure they are approved by the Director of Sales & Events
  • Responsible for coordinating event tastings as required.
  • Be present to oversee the execution of golf tournaments and special events, when required.
  • Create accurate floor plans and event orders.
  • Coordinate linen requirements for all functions.
  • Ensure all information is up to date and accurate in various software systems for events.
  • Collect all deposit payments for special events.
  • Ensure payment for social events are received 10 days prior to the event.
  • Generate accurate invoices.
  • Ensure confirmed guest counts and event details are accurate and received ten days prior for all events.
  • Effectively communicate any late changes to event details with all stakeholders.
  • Accommodate all special requests in a suitable manner if possible.

Qualifications

  • 1–3 years of experience in event coordination, venue management, sales, or a related field
  • Strong organizational and multitasking skills with excellent attention to detail
  • Confident communicator with a customer-first mindset
  • Comfortable working nights, weekends, and holidays as events require
  • Proficiency with scheduling tools, CRM systems, booking software or event management platforms and basic office software
  • Ability to remain calm and solution-focused in live event environments
